STUDIO POLICIES

Class Packages

Drop-in and class packages may be used toward any regularly scheduled class and are non-refundable once purchased. These services are valid for use by the account holder only and will expire one year from the date of purchase. All packages must be used within this one-year period—no exceptions will be made regarding expiration.

Memberships

All memberships are non-refundable once purchased.

Annual & 3-Month Memberships are one-time purchases and do not automatically renew upon expiration.

Founders Memberships and Monthly Unlimited Memberships are billed on an auto-renewal basis. These memberships will automatically renew on the expiration date unless canceled in advance.

Clients may cancel any auto-renewing membership at no charge up until 11:59 PM on the day before renewal. 

Please Note: All membership cancellations of modifications must be requested directly through Heatwave. This request must be submitted—or a clear attempt to contact us must be made—no later than 11:59 PM the night before the scheduled renewal date to be honored. 


Late requests will not be eligible for refund or adjustment. 

Account Management

Clients are responsible for managing their own account through our online booking system or mobile app. This includes:

• Updating payment methods

• Booking and cancelling classes

• Purchasing drop-in’s, class packs, memberships, and add-ons

• Viewing upcoming reservations, waitlist status, and account history

Certain changes, such as membership cancellations or upgrades, must be requested directly through Heatwave and are outlined in the Memberships section.

To ensure accurate billing, scheduling and communication, clients are expected to keep account information up to date at all times.

Cancellation

Class Packages: Reservations may be cancelled without penalty up to 12 hours prior to the scheduled class time. Cancellations made less than 12 hours before class will result in the loss of that class credit; the session will not be re-credited. Failure to cancel and failure to attend is considered a no-show and will result in a $10 no-show fee in addition to the forfeited class credit.

Memberships: Reservations may be cancelled without penalty up to 12 hours prior to the scheduled class time. Late cancellations made within 12 hours of class time will incur a $10 late cancellation fee. No-shows will be charged an additional $10 no-show fee.

Studio-Initiated Cancellation:

We reserve the right to cancel a class or event due to inclement weather or other factors outside of our control. If a class or event is cancelled by us, the class credit will be returned to the clients account, or we will issue a full refund upon request.

Waitlist

The waitlist functions the same as a standard class booking. Joining the waitlist is a commitment to attending class if a spot becomes available. Clients should only join the waitlist if they are available and intend to take the class.

How it Works:

• Clients will be notified via email, and automatically added into class from the waitlist as soon as a spot opens—up until 2 hours prior to class start time.

• Once added, standard cancellation policies apply. If the client is added and does not attend, the reservation will be treated as a late cancel or no-show based on timing.

• Within 2 hours of class, if a spot opens up, the next client on the waitlist will be notified and given the option to accept or decline. If declined, the credit will be returned to the client’s account.

Client Responsibility:

If plans change, it is the responsibility of the client to remove themselves from the waitlist in a timely manner. The waitlist may move quickly, especially as class time approaches, and holding a spot unnecessarily may prevent other clients from attending.

In-Studio Arrival

Clients are strongly encouraged to arrive at least 5 minutes prior to the start of any class or event. To maintain a focused environment and ensure the safety of all personal belongings, the studio door will be locked promptly at class time. Late entry is not permitted. It is the responsibility of each client to arrive on time for their scheduled session. If the client arrives after the door has been locked, the session will be considered a no-show and subject to the standard cancellation policy.

Guest Bookings

Guests may be booked using your account; however, memberships and class packages are not eligible forms of payment for guest sessions. All guest visits must be purchased separately as drop-in sessions. Our standard cancellation policy applies to all guest bookings.

Private Bookings

To reserve a private class, full payment is due at the time of booking based on the confirmed group size. The group rate is locked in at the time of booking and is non-refundable. Scheduling a private class reserves exclusive time with our instructors and studio, which could otherwise be used for public classes or events. 


Group Size Increase:

    •     Additional participants may be added up to 48 hours before the scheduled session.

    •    These bookings will be charged at the current per-person rate for the group’s new tier.

    •    We will invoice separately for any additions.


Group Size Decrease:

    •    No refunds or credits will be issued for participants who drop out after the booking is confirmed.

    •    The client is still responsible for the full amount paid at booking.


We ask that private groups communicate any changes in a timely manner to ensure that the in-studio experience is as seamless as possible! 

Studio Etiquette

• Phone Use: Phones are permitted in the studio for emergency purposes only. We ask that clients refrain from texting, calling, or using devices during class out of respect for the shared space.

• Stay through Savasana (or end of class): Clients are expected to stay for the full duration of their scheduled class. If class is running over time, instructors will announce an option to exit early.

• Studio Entry: Please wait to enter the studio space until 10 minutes prior to class time. The front room is available for early arrivals. This allows time for proper cleaning, ventilation, and class setup between sessions.

• Personal Belongings: Please store all personal items neatly in the designated areas. Water bottles and towels are welcome in class; bags and outerwear should remain outside the practice space whenever possible.

• Cleanliness: We take pride in a clean studio. Clients are encouraged to wipe down any props or equipment used during class with the provided wipes, and return them to their designated spots.

• Respect for Others: Please keep conversation minimal once inside the studio space. This helps maintain a calm and grounded atmosphere as others settle in.
